ON-SITE ASSOCIATION MANAGER

Are you an experienced community association professional who enjoys being at the center of property operations, building relationships, and making things happen?
Bluestone Real Estate Services is seeking a full-time (30-40 hrs/wk) On-site Association Manager to oversee the day-to-day operations of one of our community associations in Downtown Portland. You’ll partner closely with the Portfolio Manager and Board of Directors while serving as a key resource for homeowners, staff, vendors, and service providers.
This is a highly visible role for someone who can balance excellent customer service with strong operational judgment, organization, and follow-through.
WHAT YOU’LL DO
• Oversee daily property operations and help ensure the community is operating at a high physical and financial standard.
• Serve as a primary point of contact for homeowners and respond to questions, concerns, and property needs.
• Partner with the Portfolio Manager and Board of Directors to establish priorities and carry out community initiatives.
• Lead and support onsite staff and provide guidance to direct reports.
• Conduct regular property inspections and identify maintenance, safety, and compliance concerns.
• Coordinate maintenance requests, vendors, contractors, and service providers through completion.
• Solicit and negotiate vendor contracts and monitor performance, quality, timelines, and budgets.
• Assist with capital projects, emergency preparedness, and other property initiatives.
• Review invoices, work orders, monthly financial statements, and variance reports.
• Assist with annual budgets, reserve studies, financial reviews, and other association financial activities.
• Administer association requirements including compliance notices, architectural requests, insurance documentation, owner delinquencies, and governing documents.
• Attend scheduled evening Board meetings and participate in after-hours/on-call coverage as required.
WHAT YOU’LL BRING
• At least 2 years of association management or related experience.
• At least 1 year of experience managing people.
• Excellent customer service and relationship-building skills.
• Strong written and verbal communication skills, including the ability to navigate sensitive situations with tact and professionalism.
• Strong organization, time management, and attention to detail.
• Ability to balance competing priorities and keep projects moving.
• Proficiency with Word, Excel, Outlook, and the ability to learn association management software such as AppFolio.
• Ability to participate in an on-call rotation and attend scheduled evening Board meetings.
